Refunds

IMPORTANT NOTICE

During late registration, which begins May 6, 2013, you will be able to add and drop courses, until May 19, 2013 without penalty as long as the total number of credits you are registered in remains the same or increases. When more credits are dropped than added, these credits will be refunded at a rate of 50% per credit.

If you add courses during the late registration period starting May 6, 2013 pay outstanding fees immediately in order to avoid Late Payment Penalties. If all fees are not paid in full by May 22, 2013, a Registration & Activity Hold and Late Payment Penalty of $25.00 per registered course will be applied to your account. Additional Late Payment Penalties of $100 will be applied to accounts which are outstanding June 21 and July 22, 2013.


Warning: If you drop any courses after the semester begins, and have not made any payments toward your account, you may still owe Douglas College tuition and/or fees. The amount owed will be determined by the date and number of credits dropped.

Additional refund information

  • The Registration and Services Fee and the Other Student Activity Fees are non-refundable after Late Registration.
  • Refunds of $15 or less will not be processed.
  • Tuition fees are not transferable to another semester, nor are they transferable to another student.
  • Late admission to another post-secondary institution is not considered sufficient reason to waive the Douglas College Refund Procedure.
  • All drops must be done using the Registration System.

Receiving your refund

  • Refund cheques will be issued 6-8 weeks after the start of the semester and will be mailed to the address currently in our system.
  • Please ensure that we have your current address in our system. To update your address: login to the Registration System and choose "Update Address and Phone" under the Personal Information Menu.

Refunds for courses of 15 weeks duration

March 21 to May 5, 2013
100 percent refund if any or all courses are dropped. All drops must be done using the Registration System.

 May 6 to May 19, 2013
No additional fees for switching courses or sections if the total number of credits you are registered in stays the same.

When more credits are dropped than added, credits will be refunded at a rate of 50% per credit.

May 20, 2013 Onward
No refunds.

Refunds for courses of seven to 14 week duration

If all or some courses are dropped prior to the week in which the class starts, 100% refund. This must be done using the Registration System.

If some or all courses are dropped during the first two weeks of class, refunds will be issued at 50% per credit.

Courses of one to six weeks duration

If some or all courses are dropped prior to the week in which the class starts, 100% refund. This must be done using the Registration System.

If courses are dropped or a section change is made during or after the first week of class, no refund is given.

Refunds for students who pay a tuition fee deposit

Special Note for first-semester Limited Enrolment Students:

For limited enrolment students in their first semester, the tuition fee deposit is non-refundable and non-transferable.

If a student chooses not to register in courses, the tuition fee deposit will not be refunded.

If a student drops all courses at any time during the registration period, the non-refundable deposit will be deducted from the refund.

If a student drops any courses (one or more) after the start of the semester, the non-refundable deposit will be deducted from the refund.

Refunds after late registration

You can continue to drop full term courses until July 7, 2013 without a refund using the Registration System. A grade of "W" will appear on your permanent record. It is important for you to make the decision whether you are going to continue with a course by the deadline date. Consult with your instructor if you are unsure as to the expected outcome of your course. All students must be prepared to deal with the consequences of their decisions concerning their registration.

Note: All refund and withdrawal deadlines are applicable for courses of 14 weeks in duration. Shorter courses are pro-rated.

Refund information for new first-semester International students:

New international students are required to pay for a minimum of 12 credits at the time of acceptance. Refund for these fees is as follows:

  1. If you withdraw completely a minimum of five business days (Monday to Friday) prior to the first day of a semester, you will receive a 50% refund of tuition fees. Notification of withdrawal must be submitted in writing (letter or fax) to Douglas College International and must be received by Douglas College by the stated deadline.
  2. If you withdraw completely less than five business days (Monday to Friday) prior to the first day of a semester or after the start of a semester, you will receive no refund.
  3. If you withdraw completely due to exceptional circumstances (e.g. failure to obtain a Study Permit), you may submit a petition to the Registrar's Office for consideration of a full refund (less a $250.00 administrative fee). You will be required to provide documentation to support your claim. You should contact Douglas College International for assistance in this matter.
  4. If you withdraw from some, but not all, courses either prior to the start of a semester or after the start of the semester, you will receive no refund, as the tuition fees for the first 12 credits are non-refundable and non-transferable.
